Managing access permissions

See how to manage and edit your team's permissions and access levels to the forms

Introduction

Permission management is essential to ensure that your team members have the appropriate level of access to forms and data. This guide will walk you through the process of reviewing and editing permissions, ensuring that each member is within their proper access levels.

Default permissions when creating a new form

When creating a new form in Coletum, access permissions are automatically set as follows:

  • Collaborators: Members with this profile automatically receive edit-level access permission for their own submissions.

  • Administrators: Members with this profile have full edit access to forms and team members.

These default settings are designed to facilitate initial access management. However, if there is a need to adjust these permissions so that a member has a different access level or no access permission, follow the instructions in this article to review and edit permissions as needed.

Ways to manage permissions

1. Form-level permissions

You can review and adjust permissions within a form. This is useful for managing team permissions within a specific form without the need to individually review each member's permissions.

  • Access the main menu > Forms

  • Identify the form

  • In the Actions > Edit permissions

  • Set the permission levels for each member for that form

  • Finally, click Save

2. User-level permissions

Here, the focus is on the individual user, allowing you to adjust each member's access to all forms at once. This is useful for managing access for new users or quickly adjusting permissions for existing users.

  • Access the main menu > Team

  • Choose the member you want to review

  • Click on Actions > Edit permissions

  • Adjust their permissions for each form as needed for their role

  • Finally, click on Save

With these two approaches in mind, you can easily adapt Coletum's permissions to the specific needs of your team and organization.

Users administrators have full permission on all forms and across the entire team. For this type of user, it is not possible to edit access permissions.
