How to export a blank form to PDF?

Learn how to save your form as a blank PDF template to view the full layout without any entries.

Introduction

This action can be useful in various situations, such as:

  1. View the form layout: Allows you to check the layout and formatting of the form in PDF before its use.

  2. Share with someone outside the organization: Facilitates sending the form to people who do not have access to Coletum, ensuring they can view all questions and options.

  3. Documentation and archiving: Helps maintain an official record or archive specific versions of the form for future auditing and documentation.

Although Coletum does not have a specific feature to export empty forms as a template, there is a practical solution that allows you to save the form layout in PDF. This guide will present the step-by-step process to perform this procedure.


Step-by-step

1. Preparing the form layout

Before starting the saving process, check if your form has multiple-choice/single-choice fields.

If it does not have this type of field, or if they are already in expanded format, you can skip to step 2.

If the response options are in collapsed format, follow the steps below:

  • Go to the Forms section and identify the desired one

  • Open the option Add a filling (button Actions), to review and find multiple/single-choice questions. Or review directly in the form editing (button Actions > Edit form)

  • Change the response options format to Expanded, and save the edit

This configuration is essential to ensure that all response options are visible in the final PDF.

2. Saving as PDF

After reviewing the necessary fields, you will be ready to generate the PDF. To do this:

  • In your list of forms, identify it and right-click the Actions > Add a fill

  • Press Ctrl + P on your keyboard to open the print options

  • Select Save as PDF as Destination

  • Go to More settings to adjust the layout as needed

  • And click Save


Final layout adjustments

To ensure the best visualization of the document:

  • Check if all response options are visible

  • Adjust the margins and anything else necessary in the 'More settings' option

Final remarks

This method allows you to share the form template in PDF format with people who do not have access to Coletum, making it easier to view and understand the questions included in the form. If the generated PDF is not suitable, you can adjust the print settings until you achieve the desired result.
